Graduation invitations when the school only gives you four seats

Graduation invitations carry a problem no other invitation has: the school decides how many people can come, and the number is usually smaller than the number of relatives who helped pay for it. That makes the invitation less about asking people and more about explaining a limit somebody else set.

Find out the seat limit before you tell anyone the date

Ask the school first. Most Philippine universities allocate two to four guest seats per graduate for the commencement itself, sometimes with extra tickets released late. Announcing the date before you know the number is how families end up with eleven people expecting to be in a hall that holds four of them.

  • How many guest seats per graduate, and are they ticketed or open
  • Whether extra tickets are released later, and when
  • Whether there is overflow seating or a livestream elsewhere on campus
  • Whether a pinning or capping ceremony is on a separate date with its own limit
  • Whether children count against the allocation

The pinning ceremony is the useful discovery

Nursing, medicine and some engineering programmes hold a pinning or capping ceremony on a different day, often with a looser guest limit. If your family cannot all fit into the commencement, that is frequently the one they can attend instead.

Who gets the seats

Whoever paid, then whoever raised you. In practice that means parents first, then whichever grandparent or tita carried part of the tuition, and only then siblings. It is an uncomfortable ranking and doing it privately, before anybody asks, is much easier than doing it in a group chat.

Parents
Both, before anybody else, and without a conversation about it.
Whoever helped pay
A tita who covered two semesters has a stronger claim than a sibling, and everybody in the family quietly knows it.
Grandparents
Often the ones who want it most and can manage the day least. Ask about stairs and distance before offering.
Siblings
Usually last, and usually the most understanding about it, which is worth acknowledging out loud.

Decide the list before the invitation goes anywhere. Once a date is public, every seat conversation becomes a negotiation rather than an announcement.

How to tell everybody else

On the invitation, in one plain sentence, with the reason attached. The university gives each graduate four seats, so the ceremony is parents and grandparents only, and we would love you at the lunch afterwards. Saying it there is kinder than saying it in a group chat.

The sentence works because it does three things at once: it names the constraint, it names who set it, and it immediately offers the thing they can come to. A guest who reads all three in one go does not have to ask an awkward question to find out where they stand.

The alternative, which is not saying anything and hoping people work it out from the absence of a ticket, produces exactly the conversation you were avoiding, just later and in front of more people.

The celebration afterwards, which has no limit

This is where the rest of the family goes, and it is worth treating as the real event. A lunch or dinner afterwards has no seat allocation, no ticketing and no dress code set by a registrar, so everybody who helped can be there for the part that is actually about the graduate.

Give it its own reply on the invitation, separate from the ceremony. The people coming to the ceremony are a fixed list of four; the people coming to lunch could be sixty, and you need a headcount for the second one that the first does not tell you.

Ours carry the commencement, a pinning ceremony on a separate date and the celebration afterwards on one link, each with its own reply, precisely because these three things have three different guest lists.

Would you rather hand it over?

We design the invitation, host it on one private link and gather the replies, the messages and every photo your guests take. From ₱999, with your first draft in three to five days.

Late dates, and what to do about them

Schools here often confirm the ceremony date four to six weeks out, and sometimes less. That is not enough notice for relatives travelling from the province, so send a save the date with the month as soon as you know it, and the real invitation when the school confirms.

March and April are the crowded months, with most Philippine graduations landing in them, so a hotel or a restaurant booked late will be booked at whatever is left. Reserving the lunch before the ceremony date is confirmed is usually the right risk.

If the date arrives very late, an invitation can still be turned around quickly. Ours is ₱1,499 for a graduation with a first draft in three to five days, or ₱999 for 48 hours when the school has left you no room.

We are not going to invent a deadline to hurry you, but the lunch booking is a real one and it is worth making first.

Asked about this

How many guests can attend a Philippine graduation?

Usually two to four per graduate for the commencement itself, and it varies by university and by venue. Ask the school before announcing the date, and ask specifically whether children count against the allocation and whether extra tickets are released later.

How do I tell relatives they cannot come to the ceremony?

On the invitation, in one sentence, naming the school as the source of the limit and immediately inviting them to the celebration afterwards. Saying it there is much kinder than leaving people to work it out from a missing ticket.

Should the ceremony and the party have separate RSVPs?

Yes. They have different guest lists and different limits. Four seats at the commencement tells you nothing about how many are coming to lunch, and the lunch is the one you need a real headcount for.

What if the school confirms the date very late?

Send a save the date with just the month as soon as you know it, and book the restaurant before the date is confirmed. March and April are crowded here, and a late booking means taking whatever is left rather than what you wanted.

Tell us about the day

Send the occasion, the date and a rough headcount. It takes about two minutes, and nothing is due until we have spoken. We come back the same day with a time to talk it through, and then we start drawing.
